A text from a member arrives on her concierge’s own phone, syncs to her member card, opens a dining request and prompts an intelligent insight about her granddaughter’s birthday.

Your best people know every member by heart. Your systems don’t.

What members like lives in people’s heads
Preferences, loyalty numbers and travel documents end up scattered across inboxes, spreadsheets and memory. Every call starts with a scramble for context.
Managers can’t see the work
Requests sit in individual inboxes. Nobody can tell who’s handling what, or whether the follow-up went out.
Relationships leave when staff do
When a concierge works from a personal phone and inbox, the member and vendor relationships go with them when they leave.

One request, start to finish

A Friday-evening text becomes a confirmed table in about half an hour, and the whole exchange stays on file.

  1. 7:42 pm

    A text arrives

Mrs. Aldine texts her concierge’s phone asking for a table for four on Saturday. Nobody forwards anything: the message syncs on its own.

  2. 7:42 pm

    It routes itself

MyRolodex reads the message, opens a dining request on her profile and assigns it to whoever handles dining.

  3. 7:50 pm

    Your team books it

Her preferences are already on the request. The concierge emails the restaurant from their usual inbox, and the thread lands on the request too.

  4. 8:15 pm

    She gets her confirmation

The confirmation appears in her member app, and the vendor’s commission is logged on the request.

  5. June 30

    It’s on her statement

The dinner, passed through at cost, and your service fee appear on the Aldines’ June statement, paid automatically from the card on file.

3 to review

  • Sophie Aldine turns 9 on June 14

Send flowers from the Aldines’ usual florist, with a note from the team.

Why: From Mrs. Aldine’s card: always sends flowers for family birthdays.

  • The Moreaus’ passports expire before Gstaad

Book renewal appointments now so they’re back before the December trip.

Why: Passports renew March 2027. Christmas in Gstaad is on every year.

  • Julian Kessler hasn’t booked in six weeks

He usually books dinner twice a month. A quick check-in text may be welcome.

Why: Request history shows a regular rhythm that has stopped.

Frequently asked questions

Anything else, write to hello@myrolodexcrm.com.

Who is MyRolodex for?

Luxury concierge and lifestyle management teams: private member clubs, lifestyle managers and concierge services that handle dining, travel, events and gifting for their members.

Can MyRolodex replace Salesforce or HubSpot?

For a concierge team, yes. Member profiles, request types, vendor tracking and messaging are built in, so there’s no custom build or consultant setup to get a general-purpose CRM to fit.

How long does it take to get started?

Most teams are working in days. Request types, member profiles and vendor workflows are ready out of the box. You import your members, connect your email domain and start.

Do we have to change how we email and text?

No. Your team keeps using their own phones, Gmail or Outlook. MyRolodex syncs every text and email to the right member and request automatically, so there’s no new app to learn and nothing to forward.

How do we bill members?

Costs are captured on each request, with your markup or service fee applied, and roll up with membership dues into one statement per member or family. Cards on file are charged with auto-pay, and everything exports to QuickBooks or Xero.

What are intelligent insights?

Suggestions MyRolodex makes from what it knows about your members: a birthday coming up, a passport that expires before a trip, a regular who has gone quiet. Each one explains why it appeared, and nothing happens until someone on your team approves it.

Is there an app for our members?

Yes. Members get an app and web portal with their upcoming plans, confirmations and documents, plus a direct line to their concierge. It carries your brand, not ours.

How is member data protected?

Access is role-based, every change is recorded in an audit history, and passports and cards live in an encrypted vault where every view is logged. When someone leaves, their access is revoked and the relationships stay with you.

How much does it cost?

Pricing is tailored to your team and how you work. Tell us about your operation on a walkthrough and we’ll put together a quote.

Your members expect you to remember. Now your whole team can.
